In the Calendar module of Microsoft Outlook and when you use the Scheduling Assistant, some calendars of shared mailboxes or rooms display working hours as having a grey background while other calendars display working hours as having a white background. This issue occurs while Outlook is connected to Microsoft Exchange Server. In other clients, such as Outlook Web App (OWA), the working hours of all calendars are displayed as white.

Workday Outlook Calendar

  • In Microsoft Outlook, we can set our own Calendar Work Days and Working Hours. By default, in Outlook, the Work Week is set from Monday to Friday, and the W.
  • To set the hours of your work day, select the start of your work day using the Start Time drop down menu, and select the end of your work day using the End Time drop down menu. Note: Take note of the time zone indicated. If it is not correct, then your work day hours will be off, as will your calendar times. Select OK to save your changes.
  • To do this, head to the Office 365 Portal, then select Outlook: Click on the Calendar symbol to go to the Outlook calendar: Select the Gear to go to your Settings, then Calendar Appearance: From here, you can change the work week and working hours to match your work schedule.
  • The following is not a complete solution. However, it is on here to conjure future ideas for Outlook. A unfortunate workaround would be going to calendar under settings. And then change your 'Working Hours' to only the hours you want to see rather then just your working hours. I'll set mine to 9am to 1AM. I don't need to see the hours I sleep.

This behavior is expected if the following conditions are true:

  • Outlook is connected to a newer version of Microsoft Exchange Server that hosts mailboxes and calendars.
  • The working hours of the client and the mailbox are in the same time zone.Outlook cannot yet handle all the new elements that are used by newer versions of Exchange Server. Microsoft is aware of this issue and will update this article when a fix becomes available.

Lets say you want to have a rule in outlook send to you only between specific times in the day.

  • Only after 6pm and before 8am
  • Only on your lunch hour
  • When you are not at work

I will explain this by having emails forward to my cell phone, only when I am normally not at the office. (From 6pm-8am) This way, I will be able to receive important emails that may require special outside assistance.

  • Create a special category called FWD
  • Use other rules to set messages into the FWD category if I want them forwarded. (Explained Below)
  • Then, create a rule to run last in the rules list called FWD Rule
  • *Important Part* This will check the time on the messages, if it’s within the specified hours, it will forward the email (Explained Below)

Creating a Rule to set the FWD Category:
Your Rule Description should look something like this. The important part is that it is assigning it to the FWD Category:

The Rule that will email header* for UTC times. Make sure it’s assigned to the FWD category. And then FWD it:

* This should work on most emails, but if you want to look at the email header Right-click on the message in the Inbox and select Message Options.
* I included the 2011 and the colon to make it more specific.
